At Tranquility Virtual, we believe support should feel like relief, not more to manage. That's why we've designed our service tiers to offer flexibility, structure, and peace of mind, whether you need basic administrative help or full insurance and billing support.

These FAQ’s will answer most of your questions on how our monthly packages work, how we manage your hours, and what to expect once we begin working together.

What are the different types of service packages you offer?

We offer three support tiers based on your needs:

1. Administrative Support Only

Tasks like client communication, scheduling, form management, inbox help, intake setup, and more.

2. Admin + Billing Support

Includes all Admin support plus claims submission, invoicing, payment tracking, and basic billing follow-up.

3. Admin + Billing + Insurance

Our most comprehensive tier-includes all of the above plus payer outreach, benefits checks, and claim troubleshooting.

How are monthly hours managed?

Each package comes with a set number of hours per month (10, 20, or 40). We divide those hours across the month to ensure steady, reliable support.- 4-week months: Time is generally split evenly across 4 week or 5 week months: We plan for lighter weekly hours to stretch across all 5 weeks.

- Example: A 20-hour package in a 4-week month = ~5 hrs/week

We'll adapt the schedule based on your priority tasks and workflow. You'll always know where your time is going.

How do I know what tasks will be prioritized and completed?

You can assign tasks in several ways:

- Weekly: Send new tasks every Monday (or preferred day)

- Biweekly: Submit a list every other week for batching

- Rolling: Send additional tasks as needed, and we'll update you as time is used

What if I need an additional service that isn’t included in my package?

Each tier comes with a standard set of included services (see our Services page for full lists).

Outside of these, we'll evaluate custom requests based on:

- Scope and complexity

- Time available in your package

- Whether it falls under your selected tier

If it's a bigger request or ongoing need, we'll let you know if it requires:

- A custom quote

- An upgrade to a higher-tier plan

- Or, a simple add-on service price

How do I know how much of my time has been used in my package?

- Time is tracked in 15-minute increments, rounded up

You'll receive a monthly summary showing:

- Tasks completed

- Time used

- Any outstanding needs or recommendations

How do I get in contact to provide an update or quick request that needs immediate attention?

We stay in touch through:

-Quick questions and clarifications are always welcome-we believe in clear, calm communication.

- Email updates, both to and from are welcome anytime

- Optional biweekly check-ins via Zoom
